This Privacy Policy explains how VidHirePro Inc. (“VidHirePro”/”we”/”us”) processes personally identifiable information (“Personal Information”) of job-seekers (“Applicants”) who use VidHirePro’s platform and services at the request of our software service subscribers (“Subscribers”).



Introduction

VidHirePro’s platform enables online applicant recruitment and selection services, including the online recording of text, audio, multiple choice, file upload and video responses to questions selected by Subscribers, along with other features to facilitate the applicant recruitment process (the “Service”).

Subscribers & Data Control

VidHirePro processes Applicants’ Personal Information solely as a service to our Subscribers and to facilitate Applicants’ interactions with our Subscribers.

Important Note:  Access to Personal Information held by VidHirePro is controlled by the applicable Subscriber. VidHirePro does not control how Subscribers process, use, access, control, maintain, or delete Applicants’ Personal Information, whether through the Service or outside the Service nor does VidHirePro dictate the security measures employed by Subscribers. Therefore, you acknowledge and agree that VidHirePro is not responsible or liable for any processing of Personal Information or any decisions made by Subscribers in the recruitment process, including the use of the Service’s features or Applicant Personal Information. Use of services like the Service, which involve processing sensitive Personal Information, carries higher risks if there is a data breach or disclosure of such data. Please refer to Section 5 for more information on VidHirePro’s security measures. Subscribers should communicate their privacy policies regarding such processing and use to Applicants, whether through the Service or otherwise, and you should review such policies carefully.

For questions or concerns about VidHirePro’s privacy practices, contact VidHirePro’s Privacy Officer using the details in Section 8. For questions about Subscribers’ privacy practices, including the use of Applicants’ Personal Information by Subscribers, contact the applicable Subscriber. If VidHirePro receives queries from Applicants about Subscribers, VidHirePro will direct them to the applicable Subscriber unless required by law to respond directly.

Consent

Applicants can choose whether or not to provide Personal Information. However, if an Applicant chooses not to provide the requested Personal Information, they will be unable to use certain features of the Service.

VidHirePro does not collect for itself sensitive personal information such as protected health information, financial information, date of birth, social security numbers, or other government-issued identification numbers. Subscribers may ask Applicants to provide this information through the Service, but it is at the Applicants’ discretion whether to provide it.

Section 3 outlines the information VidHirePro collects about Applicants and their use of our Service. Section 6 provides more information about data storage and sharing.

Information Collected About Applicants

Subscribers may collect, use, store, and transfer various types of Personal Information (as defined by applicable law) about Applicants through our Service. VidHirePro does not collect or use any Personal Information of Applicants on its own behalf.

VidHirePro collects, uses, and shares non-personalized data such as statistical or demographic data and may anonymize Applicant Personal Data for any purpose, including service improvement (“Service Data”). Service Data does not reveal Applicants’ identities directly or indirectly and does not contain any Personal Information, thus it is not protected by privacy laws. For example, we may aggregate Applicant usage data to calculate the percentage of Applicants accessing a specific Website feature.

VidHirePro does not collect any special categories of Personal Data about Applicants (e.g., details about race, ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, health, genetic and biometric data) or information about criminal convictions and offenses. Subscribers may request this information through the Service, but providing it is at the Applicants’ discretion.

Security and Enforcement

The security of Applicants’ Personal Information is important to us, and we are committed to helping our Subscribers comply with regulatory requirements. We use security safeguards appropriate to the sensitivity of the information to ensure that Applicants’ Personal Information is stored and maintained securely. Our Information Security Risk Management Program is based on widely-accepted frameworks such as ISO 27001, ISO 27017, and SOC2 Type2. VidHirePro adheres to Fair Information Practice Principles, including notice, choice, access, security, and enforcement. We use managerial and technical safeguards, such as encryption, malware protection, access controls, and social engineering attack detection, to protect against the loss or unauthorized use of Personal Information.

VidHirePro continuously monitors and reviews security safeguards and takes corrective actions when deviations from our Privacy Policy are discovered.

Transfers and Disclosures of Personal Information

VidHirePro’s headquarters are in Canada, and servers hosting the VidHirePro platform are located in the United States, EU, Canada, and Australia. Consequently, Applicant Personal Information may be subject to disclosure orders by authorities in these jurisdictions.

Service Providers and Business Partners: We may employ third parties to perform tasks for us, and we may need to share Personal Information with them to perform these tasks. These third parties do not have the right to use the Personal Information we share with them beyond what is necessary to perform the relevant tasks. Currently, engaged third parties include those providing database management, payment processing, and customer relationship management tools.

With Your Consent: If we need to use or disclose Personal Information in a way not identified in this Privacy Policy, we will notify you and/or obtain consent as required by applicable privacy laws.

As Required by Law:  We may disclose Personal Information to third parties without your consent if we believe it is necessary to identify, contact, or bring legal action against someone causing injury to or interfering with our rights or property, other users, or anyone else. We may also disclose Personal Information when required by law.

We reserve the right to access, read, preserve, and disclose any information as necessary to:

  1. Satisfy any applicable law, regulation, legal process, or governmental request (including subpoenas, civil investigative demands, or similar processes);
  2. Enforce our contracts or user agreements, including investigating potential violations;
  3. Detect, prevent, or address fraud, security, or technical issues.

Changes to this Privacy Policy

VidHirePro may update this Privacy Policy periodically. The use of information we collect is subject to the Privacy Policy in effect at the time such information is used. If we make material changes or changes in how we use information, we will notify customers via email or by posting an announcement on the Website before the changes become effective. Applicants are bound by any changes to the Privacy Policy after such changes have been posted.
